Managing privacy and security of Client data
Coletiv Client Data: Coletiv securely stores all Client-related data, including contracts, signatures, and contact information, within its internal knowledge management system (e.g., Notion). Access to this data is strictly limited to personnel who require it for specific, authorised purposes. Coletiv does not use Client data for any purposes beyond those necessary to fulfil contractual obligations, such as invoicing and the delivery of agreed-upon services.
In the course of delivering services, Coletiv may utilise various tools for communication, messaging, and data storage. These tools may rely on third-party service providers; however, Client data is only used as required to support the agreed services. Coletiv remains committed to maintaining the confidentiality and security of Client data at all times.
In order to deliver its services, Coletiv relies on a number of third-party service providers (“Sub-Processors”). These tools are used to facilitate communication, messaging, and data storage. While Coletiv uses these Sub-Processors to support its operations, Client data is handled strictly in accordance with its intended purpose—limited to fulfilling contractual obligations and providing agreed-upon services. Coletiv ensures that all Sub-Processors adhere to industry-standard practices for data security and privacy. A list of the Sub-Processors used by Coletiv is provided below:
